Terms of Service

1. Who we are

Platick is a trading name of Bateren Creative Ltd, a company registered in England and Wales (company number 08740448), registered office 80A Ruskin Ave, London DA16 3QQ ("Platick", "we", "us"). Contact: help@platick.com.

2. These terms

  1. These terms apply when a business ("you") signs up to Platick. By ticking the box at sign-up you accept them on behalf of that business, and you confirm you are authorised to do so.
  2. Platick is for businesses only. It is not offered to consumers. At sign-up you must tick "I'm signing up for a business." to confirm this.
  3. Our Privacy Policy explains how we handle personal data and forms part of these terms.

3. The service

  1. Platick lets you record the allergens in your dishes, publish them for each of your venues on a web page ("your allergen menu") reached through a QR code and link, and download printable materials.
  2. Your business can have one or more venues. Each venue has its own allergen menu, QR code and link. Dishes and menus belong to your business and are shared by its venues. Each venue chooses which menus it shows and can mark any dish "Not served at this venue". A dish confirmed once is confirmed for every venue that shows it. If a venue makes a dish differently, copy the dish and confirm the copy.
  3. Platick displays and records the information you enter. It does not test food, inspect kitchens, verify recipes or supplier information, or certify that any dish is suitable for anyone.
  4. We may improve or change the service. If a change significantly reduces what you pay for, we will tell you in advance and you may cancel.

4. Your business and team

  1. You must give accurate details and keep your login private. Each person should use their own login, because confirmations are recorded against the person who makes them.
  2. You may invite up to 10 people for each venue in your business. Team members can work on every venue in your business. You are responsible for everything done through your business's Platick account, including by people you invite.
  3. Tell us straight away if you think your account has been misused.
  4. If an owner loses access, or a venue needs to move to another business, we may restore ownership or transfer the venue, but only with proof that satisfies us of who runs the business or venue. We record every such action.

5. Free trial, fees and payment

  1. Each business gets one 14-day free trial. A payment card is required to start it. Venues added during the trial are free until the trial ends. Stripe emails you 7 days before the trial ends and we email you 3 days before. If you do not cancel before the trial ends, your subscription starts and your card is charged.
  2. Pricing is per venue: currently £12 per venue per month or £120 per venue per year (paying yearly saves £24 per venue a year). Your business has one subscription, and the number of venues sets the amount. Adding a venue in Billing increases the amount from that day (prorated). Only the owner can remove a venue; this reduces the amount, retires that venue's link and short code, and keeps its history.
  3. Launch offer: with the launch code, your business gets 25% off its whole subscription for its first 12 months, including venues added during those 12 months. The code works on a business's first order only and must be used by 31 January 2027 (23:59 UK time). It is not reapplied if you restart after it has expired.
  4. Subscriptions renew automatically each month or year until cancelled. Payments are handled by Stripe; we do not see or store your full card number.
  5. No VAT is charged. We are not currently registered for VAT. If that changes, VAT will be added at the applicable rate and we will tell you first.
  6. We may change prices with at least 30 days' notice by email. The new price applies from your next renewal after the notice period. You may cancel before it applies.
  7. If a payment fails, Stripe retries it for 7 days and we email you. Your allergen menus stay live during those 7 days. If payment has not been made when the retries end, your subscription ends and your allergen menus show: "This allergen menu isn't available right now. Please ask staff for allergen information." You can restart your subscription in Billing.
  8. Fees already paid are not refundable, except where the law requires or we say otherwise.

6. Your responsibility for allergen information

This section matters most. Please read it carefully.

  1. You are the food business operator. You alone are responsible for the allergen information on your allergen menus and printed materials, and for meeting the food law that applies to you.
  2. You must make sure every dish's allergen information is complete, accurate and kept up to date, including when recipes, ingredients, suppliers or preparation change.
  3. When you or your team press "I've checked all 14" (or "Still correct"), you are declaring, on behalf of your business, that the dish's allergen information is correct. This includes any allergen marked "Can be made without": you are confirming the dish can be made that way and that you have procedures to prevent cross-contact when you do. We record who did this and when.
  4. Platick does not replace your allergen procedures, staff training, supplier checks, cross-contact controls, or the conversation your staff should have with every guest who has an allergy. Your staff must still be able to answer allergen questions.
  5. You must keep the safety notice ("Always tell staff about your allergy before you order.") visible, and must not present Platick materials as a guarantee about what is in your food.
  6. We recommend you keep a current printed allergen record at each venue as a backup, in case a phone, the internet or Platick is unavailable. Platick prompts you to print one after allergen-affecting changes.

7. AI suggestions

  1. When you import a menu (photos, PDFs, a web link or pasted text), Platick uses artificial intelligence (Anthropic's Claude) to read it and suggest dishes and allergens.
  2. Suggestions are a typing aid only. They can be wrong or incomplete, and they are based only on the wording of your menu, not your recipes.
  3. Suggestions are never shown to guests. Nothing is published until a member of your team has checked all 14 allergens for a dish and confirmed it. You remain responsible for the confirmed information under section 6.
  4. Guests can choose to view your allergen menu in another language. Platick uses AI to translate your dish names and descriptions, and your menu and section names, when you confirm or rename them. Automatic translations can be wrong; guests can always choose "Show original". Allergen names and notices use checked translations, and your kitchen note is never translated.

8. Your allergen menu, QR code and printables

  1. Each venue's allergen menu shows the venue's name, your business's branding and the dishes you have confirmed for the menus that venue shows. Draft dishes are never shown.
  2. If someone edits a confirmed dish's name, description, allergens, "Can be made without" settings or vegan/vegetarian tags, the change is saved as a draft. Guests keep seeing the last confirmed version until someone presses "I've checked all 14" again. Price and photo changes show straight away.
  3. Your QR code never changes. Your link can change if you edit it; the old link keeps redirecting. If your subscription ends or a venue is removed, they lead to a notice that the allergen menu isn't available.
  4. Printed materials show the information as it was when printed. You are responsible for replacing printed copies when your information changes.

9. Acceptable use

You must not use Platick to publish false or misleading information, content you have no right to use, or anything unlawful or offensive; to impersonate another business; or to interfere with, copy or reverse-engineer the service.

10. Your content

  1. You keep ownership of your menus, dish information, logos and other content.
  2. You give us a licence to store, process, translate, display and print your content as needed to run Platick for you, and to show your venue name and logo on your allergen menus and printables.
  3. We will not use your venue name or logo in our marketing without your permission.
  4. You confirm you have the right to upload everything you upload, including logos, menu files and pasted menu text.

11. Our property

Platick, its software, design and brand belong to us or our licensors. You may use them only as part of the service.

12. Availability and support

  1. We aim to keep Platick available at all times but cannot promise it will be uninterrupted or error-free. We may carry out maintenance, ideally outside busy service times.
  2. Support is by email (help@platick.com) and the in-app help panel. We aim to reply within one working day.
  3. If a guest reports a problem with one of your allergen menus, we pass it on to your business's owner within one working day.

13. Data protection

  1. We are the controller of the personal data we collect to run Platick, such as your team's names and emails, as explained in our Privacy Policy.
  2. Where you put other personal data into Platick (for example, a staff member's name in a dish note), we process it on your behalf under section 13A.
  3. Do not enter personal data about guests, such as names or individual allergies, into dish fields, notes or help messages.

13A. Processing data on your behalf

Where we process personal data on your behalf, we will:

  1. Act only on your instructions, which are these terms and how you use Platick, unless the law requires otherwise.
  2. Make sure everyone who works on Platick with access to that data is bound by confidentiality.
  3. Use only the service providers listed in the providers table in our Privacy Policy as sub-processors. We will tell you before adding or replacing one, and you may object or cancel.
  4. Keep the data secure (Privacy Policy section 8) and tell you within 48 hours of becoming aware of a personal data breach affecting it.
  5. Help you, as far as we reasonably can, to respond to requests from people exercising their data protection rights.
  6. Delete the data when your subscription ends, after the 90-day export window in section 16, unless the law requires us to keep it.
  7. Give you the information you reasonably need to show these commitments are met.

14. Our liability to you

  1. Nothing in these terms limits or excludes liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be limited by law.
  2. We are not responsible for any loss arising from allergen information you or your team entered, confirmed, failed to update or failed to communicate; from your kitchen practices; or from your failure to follow section 6.
  3. We are not liable for loss of profit, revenue, business, goodwill or data, or for any indirect or consequential loss.
  4. Otherwise, our total liability to you in any 12-month period is limited to the greater of the fees you paid us in that period and £100.

15. Your responsibility to us

You will cover our reasonable losses and costs (including legal costs) from any claim by a third party, such as a guest or a regulator, that arises from the allergen information you published or from your breach of these terms.

16. Cancellation and ending the service

  1. You can cancel at any time in Billing. Your subscription continues until the end of the current paid period. If you cancel during the free trial, you are not charged.
  2. We may suspend or end your business's access if you seriously breach these terms (including section 9), or if payment is not made by the time Stripe's retries end (section 5). Where reasonable, we will warn you first.
  3. We may pause an allergen menu immediately, without warning, if it appears fake, misleading or unsafe, or after a guest report, while we look into it. A paused allergen menu shows the unavailable notice. We never change your allergen information, and every admin action is logged.
  4. After your subscription ends, your allergen menus show the unavailable notice. You can sign in and export your data for 90 days. We email you 14 days before deletion. After that we delete your business's data, except your history of allergen declarations, which we keep for 3 years to deal with any legal claim, and what we must keep by law (such as invoices).
  5. If we decide to close Platick, we will give you at least 90 days' notice by email and let you export your data before we close.

17. Changes to these terms

We may update these terms. We will email you at least 30 days before a material change takes effect. If you continue using Platick after that, the new terms apply; if you do not agree, you may cancel.

18. General

  1. These terms are the whole agreement between you and us about Platick.
  2. You may not transfer your rights under these terms without our consent, except through Platick's ownership transfer feature as part of selling your business. We may transfer ours to a company that takes over Platick.
  3. Nobody else has rights under these terms.
  4. If any part of these terms is found unenforceable, the rest still applies.
  5. These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
